Who I am

My name is María del Pilar Gáñez, trading in the UK under María del Pilar Gáñez Ltd. I provide Spanish language services, such as translation, revision, proofreading and consulting, as well as translation project management services. The purpose of this policy is to explain to you how I control, process, and protect your personal data while browsing or using this website. If you do not agree with the policy, you may wish to cease viewing or using this website. I am committed to safeguarding the privacy of my service users, website visitors, clients, colleagues and suppliers. I am GDPR compliant and registered with the Information Commissioner’s Office.

I act as a data controller with respect to the personal data of my website visitors and service users when I work with direct clients. I act as data processor when I work through translation agencies or when I am subcontracted by a colleague responsible for the content.

How I use your personal data

I collect, store and use personal data for the following purposes:

  • To issue quotes, estimates and invoices
  • To communicate with you
  • To provide my Spanish language services as requested by you
  • To comply with legal requirements

Visitors to my website are not obliged to provide personal data. Nevertheless, anyone interested in my services can contact me via the contact information provided, and some personal data has to be collected in order to establish communication.

Identifiable personal data I collect and process may include your name, postal address, email address, telephone number, banking and financial details, education and employment details or personal information on documents provided by you for the purpose of issuing quotes, estimates and invoices, providing my services and communicating with you. I process all data on password-protected computers and laptops which is not accessible by third parties. The legal basis for this processing is consent and my legitimate interests, namely the performance of the services you have requested, the performance of contract between you and me and/or taking steps, at your request, to perform them or enter into such a contract.

I do not collect sensitive information regarding your health, religious or political views, etc., unless they are included in a document you provide me with for translation. These data are collected via the contact form on my website, or if you contact me via email, text, social networks or mobile phone or landline.

About cookies

Like most websites, mine also uses cookies to collect data. Cookies are small data files which are placed on your computer (PCs, smart phones or tablets) as you browse. They are used to remember when your computer or device accesses this website, they help it operate effectively and improve your user experience.

The data collected includes pages viewed and your journey around the website. These cookies are not used to collect or record data on your name, address or other contact details.

You can disable the use of cookies by changing your browser settings to reject cookies. In doing so, some of the website services may no longer function properly.

Google Analytics

Based on my legitimate interest (i.e. my interest in analysis, optimization and economic performance of my online offer in accordance with article 6, section 1, letter f of GDPR), I use a third-party service, Google Analytics.

Google Analytics collects standard internet log data and details of visitor behaviour patterns. I do this to find out things such as the number of visitors to the various parts of the site. This may include your IP address, geographical location, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your service use.

This data is only processed in a way which does not identify anyone.

I neither make or allow Google to make, any attempt to find out the identities of those visiting our website.

The user information generated by Google cookies regarding my online offer is normally transferred to a server and stored in the USA.

Google is certified by its Data Processing Agreement for Europe, and therefore guarantees with European data privacy regulations.

There shall be written agreement before I perform the services; namely, an agreed quote or estimate, a go-ahead given by email, and/or a signed contract, which means you have given your consent to my processing your personal data.

I may also process any of your personal data where such processing is necessary for compliance with a legal obligation to which I am subject, such as tax matters, exercise or defence of legal claims, the purposes of obtaining or maintaining insurance coverage, or obtaining professional advice.

I do not process your data for marketing purposes.

Categories of data subjects

I hold data on clients, prospective clients, suppliers, collaborators, data processors for legitimate interests.

Providing your personal data to others

All the personal data I collect are processed directly by me. Third parties that could have access to your content are my cloud storage, accountancy firm, server and website providers, but they are all secure and GDPR compliant.

I may disclose your personal data to a GDPR compliant colleague/subcontractor insofar as reasonably necessary for the purposes, and on the legal basis, set out in this policy.

I may disclose your personal data to my insurers and/or professional advisers insofar as reasonably necessary for the purposes of obtaining or maintaining insurance coverage, obtaining professional advice, or the establishment, exercise or defence of legal claims.

I may also disclose your personal data where such disclosure is necessary for compliance with a legal obligation to which I am subject.

Retaining and deleting personal data

I may retain your personal data where such retention is necessary for compliance with a legal obligation to which I am subject. I will keep records of my invoices and tax related documentation for a minimum period of six years after I submit my tax declaration.

I delete emails and data from inquiries by email or through my website after six years. I keep translations and translation memories for future linguistic reference and for the purpose of consistency in future projects, but all identifiable personal information is deleted from the documents before I store them.

Your individual rights

I take all precautionary steps to guarantee the security, integrity and confidentiality of your personal data in compliance with the European General Data Protection Regulation (EU) 2016/679, in relation to the processing of personal data and the free movement of such data.

You can contact me at any time if you would like to access, rectify or erase your personal data, or if you would like a copy of your personal data, in accordance with the above mentioned regulation. If you consider that my processing of your personal information infringes data protection laws, you have a legal right to lodge a complaint with a supervisory authority responsible for data protection.
